Terms & Conditions

These Terms & Conditions apply to all video, photography, and creative services provided by Solstice Creative (trading name of Groves Media Group Limited). By booking a shoot or confirming a brief, you agree to the following:

1. Booking & Payment Deposit: A non-refundable deposit of 50% is required to secure your shoot date and pre-production time. Dates are not reserved until this deposit is received. Final Balance: The remaining 50% balance is due upon delivery of the final assets. Late Payment: We reserve the right to withhold final high-resolution assets until payment is received in full. We reserve the right to charge interest on overdue invoices in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.

2. Cancellations & Rescheduling Client Cancellation: If you cancel within 48 hours of the shoot date, you are liable for 100% of the agreed fee. Cancellations made with more than 7 days' notice may transfer the deposit to a new date at our discretion. Weather: For outdoor shoots, we will monitor the forecast. We will attempt to reschedule in the event of severe weather. If this is not possible, a partial refund may be offered excluding any incurred expenses (e.g., location fees, sub-contractor equipment hire). For certain shoots this can be discussed and a new arrangement made.

3. Copyright & Usage Ownership: Solstice Creative retains the copyright to all raw footage and images until the final invoice is paid in full. License: Upon full payment, the Client is granted a Standard Commercial License to use the final edited materials for the agreed purposes (e.g., Website, Social Media, Internal Use). Raw Files: Raw files (video or photo) are not included in standard packages. These remain the property of Solstice Creative but can be purchased for an additional "buyout" fee.

4. Creative Control & Amendments Edits: Our standard packages include two rounds of amendments within the original scope. Further changes or structural edits will be billed at our standard hourly rate (£50/hr). Style: By booking Solstice Creative, you acknowledge familiarity with our visual style. Refunds will not be issued based on subjective dissatisfaction with the agreed artistic direction.

5. Insurance & Liability Coverage: We maintain Public Liability Insurance (limit £5,000,000) and Professional Indemnity Insurance (limit £100,000). Limitation: Solstice Creative is not liable for any indirect or consequential loss (including loss of profit) arising from technical failure, weather, or illness. In the unlikely event we cannot fulfil a booking, our total liability is limited to a full refund of monies paid by the Client.

6. Client Obligations Permissions: The Client is responsible for obtaining all necessary permissions for locations, staff, and models unless otherwise agreed in the scope of work. Safety: We reserve the right to terminate a shoot immediately if our staff feel unsafe or threatened. In such cases, the full fee remains payable.
